Shared Expenses For Supplies In Merged Units

Statement of Policy & Text

Expenses for supplies consumed in public service areas and shared workspaces will be shared equitably between SJPL and SJSU.

The co-unit heads from both libraries are responsible for ensuring that:

• Each library is contributing fairly to the supplies budget.
• No inappropriate supply charges are assigned to either organization.

Need for the Policy

Although the cost-share agreement covers item purchases that are agreed upon in advance, smaller purchases, such as office supplies, are better monitored by the co-unit heads.

Requirements & Guidelines

The co-unit heads will:

• Mutually determine the required office supplies, excluding furniture and equipment.
• Determine how to maintain equity in sharing these costs.
