Use Policy
Standard rules for scholarly research and handling of fragile materials in an archival setting apply.
  • On first visit, and yearly thereafter, patrons will be required to show a photo ID, and fill out a one-time registration card.
  • Personal items (backpacks, bags, binders, etc.) must be stowed under the research tables, as no lockers are available.
  • On every visit, patrons must sign in and may be required to produce photo ID.
  • Personal items (backpacks, bags, binders, etc.) must be stowed in drawers in the Reading Room.
  • Patrons may be asked to show the contents of their bag or backpack before leaving.
  • Food, beverages, and bottled water are not permitted in Special Collections.
  • Laptops are welcome for note-taking, as are pencils and single sheets of paper. Pens are not permitted.
  • Photocopying is at the discretion of the Special Collections staff, and subject to approval by the Director, due to fragility and copyright issues. Due to staff availability, photo reproduction may take up to one week to complete.
  • The Special Collections materials are non-circulating, and available for use in the Reading Room only. The stacks are closed, and staff will page materials from the Reading Room.
  • Appointments with the Director may be made for special situations.

The Special Collections Department charges non-campus clients a fee for visual materials used in publication, production, and exhibit. Payment, made out to the "SJSU Library Special Collections Dept." should be sent out prior to use, printing, or publishing of the item. Permission to publish is contingent upon payment of fee. The fee is for each image, one time use only. Fee schedule is as follows:

  • Not-for-profit exhibit, publication, film, TV broadcast or video: $25.00 per image
  • For-profit exhibit, publication, film, TV broadcast or video: $50.00 per image
  • Commercial advertisement: $75.00 per image
Permission to publish is granted only insofar as the rights of San Jose State University are concerned. The Special Collections Department can only claim physical ownership of the material and has not determined the identity of possible claimants of copyright for many of the materials in the collections. For example, probably very few photographs in the University Archives could be identified as being in the public domain, whereas copyright to the John C. Gordon Collection of Photography is owned by the University. Responsibility for identifying and satisfying any such claimants where copyright is uncertain must be assumed by users wishing to publish this material.

Researchers may reproduce visual images from the collections by:
  • On-site photography or videotaping. The charge for on-site photography or videotaping is $25.00 per hour (minimum $25.00). The person doing the photographing or videotaping must provide an assistant (if necessary), a photographic stand, and all camera equipment. The use of lights must be kept to a minimum.

  • Digital Image Reproduction: Special Collections can scan images up to 600 dpi, in black and white or color, using jpeg, tiff, pdf formats, which will be burned to a CDR. We do not support electronic file transfers.

    We charge $10.00 for images located on the Silicon Valley History Online Database, $25.00 for new scans, and $35.00+ for new scans over 11X17. Shipping charges are extra and self-service scanning is not permitted.
