Statement of Policy & Text
|
|
The King Library offers a variety of rooms for meetings, group study, training, and special events to serve its diverse public and academic clientele. These rooms are intended for both internal library use and external use providing that individuals and groups for purposes in support of the Library’s mission of providing excellence in information resources and services for a lifetime of learning use the rooms. With the exception of the Group Study/Project Rooms, Listening Rooms, Second Floor Meeting Rooms, and the Teen Center Meeting Area, these rooms are not available to the general public or for student use, however, members of the public interested in booking such rooms are encouraged to contact their local branch library for availability, and interested SJSU students are encouraged to contact the Student Union or Associated Students for available campus meeting room space.

Need for the Policy
|

The King Library is committed to providing equitable access to the meeting rooms for individuals and groups affiliated with the Library, San Jose State University, and the City of San Jose, however due to high demand and internal use, the Library must restrict use of the rooms to meetings, programs, and events in support of the Library’s mission to provide excellence in information resources and services for a lifetime of learning.

Requirements & Guidelines
|
|
Requests that meet the basic criteria in the Statement of Policy & Text above may qualify if they meet the specific Requirements & Guidelines for the following meeting rooms, each of which have specific Policies and Procedures and show the availability by Public or Staff requestors:
For Public & Staff Reservation
- Group Study/Project Room
- Listening Rooms
- Meeting Rooms 225, 229, 255, 257
- Special Collections Program Room
- Teen Center Meeting Area
For Staff Reservation
- Boardroom
- Computer Labs/Training
- Cultural Heritage Center
- Rooftop Terrace
- Special Collections Program Room
- Staff Conference Rooms
Meeting Room Descriptions
Room 225: As a separate room can seat up to 105 people. The standard set up is theater style.
- Classroom style will seat 48
- Reception style will hold 215 without any seating
- Banquet style will seat 60-70
Room 229: As a separate room can seat up to 49 people. The standard set up is a hollow square of tables with chairs (conference style).
- Classroom style will seat 24
- Theater style will seat 50
- Reception style will hold 50 without any seating
- Banquet style will seat 35-40
Rooms 225/229: As combined rooms can seat up to 230 people. Standard set up is Theater style.
- Classroom style will seat 72
- Reception style will hold 349 without any seating
- Banquet style will seat 100
Rooms 255/257: As combined rooms hold 72 people with the standard set up of Classroom style and the partition open. These rooms are not generally divided into two separate rooms.
- Classroom style will seat 36 (single room)
- Theater style will set up to 80
- Reception style will hold 81 without any seating
- Banquet style will seat up to 50
Boardroom: King Library staff only and official library advisory committees.
Media
Each meeting room is equipped with a variety of electronic media access that may be requested on the room reservation form; however please note that the Library does not provide computers or laptops for meetings or presentations. Requests for changes in media requirements must be made with the Events Coordinator at least one week prior to the meeting.
Rooms 225, 229, 255 and 257 each offer the following capabilities:
- Live sound reinforcement via wired and wireless microphones and ceiling-mounted speakers
- Assisted listening devices
- Computer data projection and audio, VHS or DVD playback, through a ceiling-mounted front projection system and wall-mounted stereo speakers
- CD or cassette tape playback through wall-mounted stereo speakers
Wireless, computerized remote-control system
- A front projection screen that may be operated independent of the computerized remote-control system
- Internet access
Library Employee Room Reservation Requests:
SJPL and SJSU Library employees can book these rooms for library related meetings. Employees can do this simply by calling or stopping by the Receptionist desk located in the Administration Area on the 4th floor (extension 2355). An internal form should also be filled out at this time (this can be obtained at the Receptionist desk, the Meeting Room Coordinator’s desk- between the Receptionist desk and Boardroom, or the SJPL and SJSU intranet) and then turned into the Meeting Room Coordinator. This form helps to provide us with all the information needed for your meeting. While the internal form is required for internal groups, it does not need approval.
If the meeting is reoccurring, a form should be filled out with the dates or the reoccurrence listed on the form- there is no need to fill out a separate form for each date. Should you happen to need equipment or a special setup for one of your reoccurring meetings, please be sure to contact the Meeting Room Coordinator (808-2476) at least 7 days in advance to give notice of these requested changes.
Public Room Reservation Requests
Employees of either the university or the city can also reserve these rooms for city or university business. Because the primary purpose of the facility is to meet library programming and training needs and to bring town and gown together (advertise and promote library services), the following criteria and limitations exist for room scheduling of non-library groups in King Library. University and SJ City departments will follow the guidelines listed below.
